PLATFORM WORKFLOW
Task Description: Create a Custom Field
Objective: To show Organization Admins permission level and Users how to create a custom field
Organization: All
System Permission Level: System Admin/User and Organization Admin/User
Before You Begin
There are two places where you can create a custom field: the Settings module and the Forms & Surveys module. This workflow walks through the process using the Settings module, including how to create, edit, move, and delete a custom field.
If you're working in the Forms or Survey Builder, the creation process is the same from Step 7 to 9. You can follow along from that point to create your custom field, even if you're not in the Settings module.
Just keep in mind: custom fields can only be edited, moved, or deleted from the Settings module. In the Forms & Surveys module, you can create a custom field, but any changes after that must be made through Settings.
Step 1
Go to www.growthpowersuite.com and click the green Login button.
Step 2
Enter your username and password then click the blue Login button.
Step 3
Click on your Organization (if you are in multiple organizations). If you are only in one, you will begin on the Dashboard.
Step 4
Click on the Settings tab on the Module Menu Panel.
Step 5
At the top of the Settings page, click the Custom Fields tab to view, create, and edit all your custom fields.
Step 6
To create a custom field, click the Add Custom Fields button.
Step 7
A dialog box will appear with several field types to choose from. Here's a quick overview of each option to help you decide which one fits your needs:
- Single Line Text: A basic text field for short entries like names or titles.
- Numbers: A field for numerical input only. Great for things like quantities, percentages, or scores.
- Phone Number: A formatted field for entering phone numbers.
- Checkboxes: Allows users to select one or more options from a list. This field displays all options openly, so everything is visible at once.
- Currency: A number field that includes currency formatting for prices or budgets.
- Dropdown: A compact menu that lets users choose a single option from a list.
- Multiple Choice: Lets users select more than one option, but the list appears in a compact dropdown-style menu.
- Radio Buttons: A list of options where only one can be selected at a time.
- Date/Time: A calendar-style field for picking a date and time.
- Paragraph Text: A large text box for longer responses, like comments or notes.
- List User Entry: Allows users to enter multiple items in a list format, one at a time.
Step 8
After you select a field type, a custom setup popup will appear to help you configure the field. The configuration will vary depending on the type you selected.
For Single Line Text, Numbers, Phone Number, Currency, Date/Time, and Paragraph Text, the popup will include the following fields:
- Name of the field: This is the field’s title and will appear above the input when users fill out the form.
- Placeholder: This is the light gray text shown inside the field before a user types anything.
- Type: This helps categorize the field on the backend. It’s set to Contact by default and can be left as-is.
For Checkboxes, Dropdown, and Multiple Choice, the setup popup includes the same fields above, with one additional field:
- Possible values: These are the options users can choose from. Type each value on its own line to create the full list.
For Radio Buttons, the popup includes all the same fields, but the Possible value section works slightly differently:
- Possible values: You’ll type one value per textbox. To add more options, click the Add Option button to generate a new textbox for each additional value.
- Allow Custom Values: Enable this to let internal users (such as staff or team members) type in their own response if none of the listed options apply. Contacts filling out the form will not see an open field for entering custom values.
For List User Entry, you’ll see all the fields from the Radio Buttons setup, but the Possible Values section allows for more advanced configuration:
- Possible Values: Each entry includes both a Label (what the user sees) and a Value (what gets stored in the system). The Value is where the contact’s response will be saved. You can leave the value blank to let the contact type in their own answer, or prefill it with a suggested value.
- NOTE: if the contact doesn’t change the prefilled value on the form/survey, that value will be submitted as their answer.
- Allow Custom Values: When enabled, internal users will be able to add their own custom entries in addition to the ones you’ve listed.
Step 9
Once you’ve configured the custom field, click Save.
Step 10
The new custom field will appear at the top of the Custom Fields list.
Step 11
To move the custom field on the list, click the four-way arrow and drag the custom field up or down the list.
Step 12
To edit a custom field, click the pencil icon and the configuration screen will appear.
Step 13
To delete a custom field, click the red trash can icon and type the word “Delete” in the popup.
